Job Title
SIS Operations Coordinator
Position Overview
Responsibilities:
Enforce consistency and structure in daily operations processes
Monitor reports that measure accuracy and timeliness of operations performed by SIS
Serve as secondary POC to Financial Services to ensure all requests and issues are addressed and resolved in a timely manner
Troubleshoot WinBid problems
Initiate WinBid item master setup requests as well as create item master records for locally-controlled products
Setup vendor and customer accounts
Confirm shipment details and coordinate timely delivery of products
Verify data on project logs
Establish and maintain detailed records and files
Follow up on past dues and enter notes to AR in Winbid
Pull signed BOL and customer PO’s from OnBase
Create Winbid Umbrellas and Account Contracts
Support and manage E-Commerce administration
Generate and distribute reports monthly, quarterly, annual or as-needed basis per account or contract.
Create all necessary account codes: OSDM, Architect, Location, required for reporting and capturing of fees
Manage the credit card receipts inbox, upload/commit the WinBid jobs, distribute receipts to appropriate parties and invoice jobs upon credit receipt
Receive, upload, and manage the OnBase administration of all 3rd party vendor invoices and resolution of exceptions
Manage daily processing and reconciliation of payables and receivables.
Manage payable entries in WinBid A/P module for material internal system invoices and freight only invoices to ensure accuracy and timeliness
Manage all credit memo entries in WinBid A/P module
Research and manage monthly unreconciled invoice report
Generate all claims in both Shaw system and WinBid, following up with the Claims department as needed
Generate customer invoices in WinBid A/R module on material-only jobs
Submit billings to customers’ online systems when required
Inspect job closing report to ensure timeliness of job closings
Maintain SIS End Use Codes list
Oversee the maintenance of the departmental account and contract databases
Scan archive file documents into OnBase to facilitate electronic records retention
Assist with upkeep of our Team Drive
Serve as a secondary POC (point of contact) to SIS Department.
Qualifications:
High school diploma/GED, 1+ years of administration experience
Demonstrated ability to be driven to action and willing to work on special projects and initiatives as needed.
Demonstrated ability of excellent organizational skills and proficient computer skills.
Associate must be able to make decisions and prioritize their own workload to meet all required deadlines.
Knowledge of the industry and standard practices is beneficial. Ability to manage confidential information is required.
Must have composition skills required for preparation of complex business correspondence.
Associate must possess excellent communication skills necessary for corresponding with internal and external customers, as well as interdepartmental associates.
Associate must perform independently, with minimal supervision, while operating within stated guidelines and achieving desired results.
